POSITION: Administrative Assistant to the Headmaster (Now Hiring for 2023 - 2024 School Year)
REPORTS TO: Headmaster
EMPLOYEE STATUS: Exempt ‘23 - ‘24
SALARY RANGE: $50,000-$65,000
HOURS: 7:20 A.M. – 3:50 P.M. Monday – Friday (Some weekends may be required)
SCHOOL/CAMPUS: Aristoi Classical Academy - Cypress

Qualifications:

  • Bachelor’s degree and five years experience in a related field preferred
  • Two years experience in school-related work experience preferred
  • Proficient in computer skills (Google Suite, Microsoft Word, Excel, Microsoft Office, and PowerPoint)
  • Ability to navigate Internet
  • Skilled in Graphic Design
  • Excellent communication skills including editing and proofreading
  • Proficient in general office management and procedures, possess excellent interpersonal, organizational, and communication skills: verbal and written
  • Be self-motivated and able to prioritize and multi-task
  • Be highly organized
  • Must be able to lift a weight of 50 lbs.

Responsibilities and Duties:

  • Screen calls, greet visitors, and respond to parent and community member requests for school information for Headmaster
  • Maintain confidentiality of files, records, student and personnel information for the Headmaster
  • Assist with the organization and set-up of meetings and events during and after school
  • Prepare and type correspondence and reports for the Headmaster
  • Schedule and coordinate meetings, appointments and travel arrangements for the Headmaster
  • Maintain a variety of computerized and manual records, files, and department databases for Headmaster, including maintenance and updates to administration binders
  • Maintain the Headmaster’s personal Professional Development files
  • Perform record keeping and general clerical functions (e.g. scheduling, copying, faxing, mailings, etc.)
  • Responds to inquiries from a wide variety of internal and external parties (e.g. staff, Revised March 29, 2023 parents, public agencies, etc.) for the purpose of providing information, facilitating communication among campuses and/or providing direction as may be required
  • Attend meetings and trainings as assigned for the purpose of conveying and/or gathering information required to perform functions
  • Assist the Headmaster in staying current with TEA rules and regulations
  • Anticipate and schedule relevant trainings for Headmaster
  • Maintain a curriculum database and order curriculum materials for the academic year
  • Arrange teacher check out / check in of teacher-related materials, books, and resources
  • Arrange materials, textbooks, workbooks for each student grade level for teacher check out
  • Complete purchase requisitions as needed throughout the year
  • Assists Headmaster in producing K-8 curriculum schematics including word processing, editing, and graphics for Cypress Campus
  • Assists with Love & Logic school-wide discipline as needed in conjunction with the Headmaster
  • Maintains and onboards substitute teachers and facilitates daily substitute needs / campus fillings
  • Perform other duties as assigned by the Headmaster
